This Policy has been updated in line with the General Data Protection Regulation (GDPR) 2018

The lawful bases for processing data are set out in Article 6.

Cared4 by DJM Psychological Services Pty Ltd is committed to safeguarding your privacy and this policy explains what information we hold on individuals and how we use it. You can, at any time, request removal of any details you do not want us to hold or use.

All our staff are trained in GDPR and are up-to-date on our privacy and data protection policies.

Contact Details

Unless an individual has chosen to provide us with a private email address (e.g. while booking a place on an event or attending a session), all our contacts are professional contacts.

The only purpose of our email marketing is to make you aware of the resources and training we offer, and special offers related to those or to share professional information that might be of interest to you.

All our email marketing communications already offer an option to unsubscribe but, as required by the GDPR, individuals are entitled to further information about the details we hold on them, and how we use it. The following explains the key points.

  • The lawful basis on which we hold individuals’ contact information is ‘legitimate interest’, on the grounds that we are undertaking reasonable commercial activity with minimal invasion of privacy, in relation to services which we believe may benefit their professional work or wellbeing.
  • The only information which we hold about individuals is business information (for trainees) or personal information provided by medical practitioners or the individual at the time of referral This includes: full name, job title/ organisation (if appropriate), postal address, telephone contact and your chosen email address. We do not, in any instance, undertake telephone marketing.
  • In addition to the option to unsubscribe which is on every marketing email from us, an individual can at any point contact us to ask us what information we hold on them, and we will provide a copy of that information free of charge, providing it is a reasonable request.

We do not sell, give, or otherwise pass on any of our data to any other organisations except our payment services providers for website financial transactions. We will share information only to the extent necessary for the purposes of processing payments you make via our website. Our financial transactions are provided by Paypal. You should only provide your personal information to Paypal after reviewing the Paypal privacy policy (available at www.paypal.com). We will share information with Paypal only to the extent necessary for the purposes of processing payments you make via our website.

Our data is collated from individuals purchasing our products or signing up for free materials available on our website. In all instances an agreement to our T&C and Privacy & Data Protection Policy is requested and required prior to creation of the record.

The option to unsubscribe is always included in any promotional email we send out. If you do not wish for us to contact you in future, please click on the link provided to unsubscribe, email or telephone us.

We register all customers to provide CPD certificates or to report back to your referrer to our service to comply with Medicare/Work Development Order/ Employee Assistance Program  requirements. Personal information is kept as a constant unique identifier for the individual within secure practice management software Coreplus.

Data Centre and Hosting

Coreplus is hosted by Bulletproof networks – the same as the big four banks in Australia. 

  • The infrastructure complies with the Commonwealth Government standards governing the security of IT systems and infrastructure.
  • The data centre is an enterprise grade data centre with world-leading Class 1IDC infrastructure. This is the same data centre used and approved by the department of health and ageing.
  • Data is fully monitored with 24×7 security guards onsite and premises under constant CCTV surveillance.
  • To comply with Australia Law, all data, backups and offsite backups are stored within Australia.
  • The data you enter in coreplus is replicated among several database servers, as well as backed up off-site to prevent a single failure from causing data loss.
  • The multiple redundant VMware platform utilised offers, load balanced ESX servers to maximise performance and availability which has a minimalistic chance of unavailability

Secure Data Transmitted

The team at Coreplus are dedicated to making sure your data is safe and secure by using a variety of methods:

  • The Secured Data Transmitted between the coreplus platform and the end user is encrypted using 256bit encryption with an SSL certificate issued by Thawte. This is the same way internet banking data travels.
  • While using coreplus, some browsers will indicate that you are using an SSL certificate keeping online interactions private.  For example, Chrome displays a green padlock in your internet browser which means data sent to you is safe.



Our website does use cookies. A cookie is a file containing an identifier (a string of letters and numbers) that is sent by a web server to a web browser and is stored by the browser. The identifier is then sent back to the server each time the browser requests a page from the server. Cookies may be either “persistent” cookies or “session” cookies: a persistent cookie will be stored by a web browser and will remain valid until its set expiry date, unless deleted by the user before the expiry date; a session cookie, on the other hand, will expire at the end of the user session, when the web browser is closed. Cookies do not typically contain any information that personally identifies a user, but personal information that we store about you may be linked to the information stored in and obtained from cookies. We use both session and persistent cookies on our website. We use Google Analytics to analyse the use of our website. Google Analytics generates statistical and other information about website use by means of cookies. The information generated relating to our website is used to create reports about the use of our website. Google Analytics privacy policy is available at: http://www.google.com/policies/privacy/. Most browsers allow you to refuse to accept cookies. Please note that blocking all cookies will have a negative impact upon the usability of many websites. If you block cookies, you will not be able to use all the features on our website. You can also delete cookies already stored on your computer. Q: Are psychological treatments effective?

A review of current research shows that a range of well-defined psychological treatments:

·    are effective at treating the many common mental health conditions

·    are effective in treating most anxiety and depression disorders

·    are the treatment of choice for most childhood problems

·    tend to be more effective than medication over the long term, because people receiving medication only are more likely to relapse after they stop taking it

·    are viable treatments, in terms of both their effectiveness and costs.

Q: Do I need a Referral to make an appointment?

No, private referrals are welcome. Simply call 1300367664 or P:  (07) 3208 0732to discuss any questions you may have and to organise a time that suits you. Alternatively, fill in our online bookings & enquiries form and we will call you.

Please note – if you wish to claim a Medicare rebate you will need an appropriate referral from a GP, psychiatrist or paediatrician. See below for more details.


Q: Can I get a Private Health Insurance Rebate for Psychology Services

Most private health insurers offer rebates on psychological services. To claim a rebate you will need to be covered by ancillary benefits insurance (extras cover). Some health funds also require a medical referral. Rebates vary based on your level of cover. We recommend that you check with your health insurance fund first to find out if you are covered and how much your rebate will be. As all DJM Psychological Services Psychologists are registered with Medicare, all Private Health Funds will approve our services if you are eligible. We have HiCAPS facility for making direct claims with your Private Health Fund.


Q: Are there Medicare Rebates for Psychology Services

Yes. Under Medicare you can receive a substantial rebate for psychological treatment.
If you wish to claim a rebate through Medicare you will need a referral from a GP, Psychiatrist or Paediatrician to see a psychologist. All psychologists at DJM Psychological Services have a Medicare Provider number, which means they are eligible to participate in the Medicare initiative


Q: How Do I Get a Medicare Referral to a Psychologist?

If you want to claim a Medicare rebate, speak to your GP or Psychiatrist or Paediatrician about a referral under the Better Access initiative.
If you plan on seeking a Medicare based referral from your GP, it’s a good idea to:

·    Tell your GP’s receptionist that you are seeking a referral to a psychologist and would like to discuss a getting a GP Mental Health Care Plan (MHCP) – you need this to receive Medicare rebates

·    Book a longer consultation to allow time to discuss your issues and develop a Mental Health Care Plan

·    Print out our Referral Details Card and give it to your GP at your appointment

·    You are entitled to ask your doctor for a general referral to DJM Psychological Services (addressed to ‘The Psychologist’ or ‘Dear Psychologist’) or to a specific psychologist at DJM Psychological Services (see Psychologists’ Profiles here).

Psychiatrists and paediatricians can directly refer patients for Medicare rebatable services and are not required to develop a specific mental health care plan


Q: What’s the difference between Psychologists and Counsellors / Psychotherapists

There are many different people who claim to treat mental health problems. Not all of them are well trained, many are unregistered, do not hold insurance.

To practice in Australia, Psychologists must be registered with the Psychology Board of Australia (PsyBA) and must:
·    Hold an appropriate qualification (most psychologists have a minimum of six years of tertiary training)

·    Undertake an-approved program of continuing professional development,

·    Hold appropriate Professional Indemnity Insurance

·    Demonstrate satisfactory evidence of recent practice

In Australia, counsellors and psychotherapists are not regulated by a specific government body – they are not required to have a license to practice. Anyone can call themselves a counsellor or psychotherapist whether or not they have undertaken professional training in treating mental health issues. If you are planning to see a counsellor or psychotherapist, it is wise to enquire about their qualifications, the professional organisations to which they belong, and whether they practice according to a code of professional ethics. Our Psychotherapist, Evelyn Jagger, was trained in the UK as a Psychotherapist and is Registered with the Australian Counselling Association


Q: Is what I say to a psychologist confidential?

It is normal to be concerned about your privacy and confidentiality when sharing intimate details about yourself.

At DJM Psychological Services all psychologists follow the Psychologists Board of Australia (PsyBA) endorsed Australian Psychological Society Code of Ethics.

What you say to a psychologist is confidential and will not be passed on to anyone else (like a family member, friend or employer) without your consent except where: it is subpoenaed by a court; or if: failure to disclose the information would place you or another person at serious and imminent risk; or if: disclosure is otherwise required or authorised by law.


Q: How can I make an appointment?

We offer before school and evening appointments from Monday to Friday and Saturday and Sunday afternoon appointments by arrangement.


Q: How long are sessions?

Sessions usually run for 50-55 minutes which is known as the ‘therapeutic hour’. However, assessment sessions for court based reports/ education reports can be a minimum of 3 hours.

Q: What should I expect from the first session?

In the initial session, your psychologist will typically ask a number of questions to get an understanding of the particular matters that have brought you there. He or she will gather background information, discuss your expectations and establish objectives for future therapy/ interventions in collaboration with you.


Q: How many sessions will I need?

The counselling process is different for everyone. The number of sessions you need depends on your unique circumstances. Some people resolve their issues in small number of sessions, whereas others require treatment over a longer term. This matter will be discussed with your Psychologist after the first session.


Q: What payment methods do you accept?

We accept cash and have EFTPOS facilities to process credit and debit card transactions; HiCAPS to process Medicare, Veteran Affairs and Private Health Fund Claims; PayPal and Direct Debit facilities on the website; and also Direct Debit agreements can be created by our Receptionist. Either full payment or a signed payment agreement is required at the time of the appointment.


Q: Cancellation Policy

To be most effective it is very important that counselling take place on a regular basis. Appointments should be consistently scheduled and regularly attended. Missed appointments can jeopardise treatment progress. If less than 1 business days notice is given when cancelling an appointment a cancellation fee may be charged. You will be supplied with full details of the Cancellation Policy prior to your first appointment.
